Who we are

Deep Optica builds probabilistic subsurface intelligence for mining investors and operators. This policy explains what personal data we collect through this website, why we collect it, and how we protect it.

For the purposes of UK and EU data protection law, the data controller is:

[LEGAL ENTITY NAME] [REGISTERED ADDRESS] [CONTACT EMAIL]

If you have any questions about this policy, write to us at [PRIVACY CONTACT EMAIL].

The data we collect

We collect personal data in three ways. You give it to us. Your browser sends it. Our tools record it.

Information you provide. When you use our contact form or subscribe to our newsletter, we collect your name, your email address, and any details you choose to include in your message.

Information collected automatically. When you visit the site, we collect technical data such as your IP address, your device and browser type, and the pages you view. We collect this through cookies and similar technologies.

How we use your data

We use your data for clear, limited purposes:

  • To respond to your enquiries and provide information you request.
  • To send you our newsletter, where you have asked to receive it.
  • To understand how visitors use the site and to improve it.
  • To keep the site secure and working as intended.

Our legal basis

We rely on three legal bases under UK GDPR and EU GDPR:

  • Consent, for our newsletter and for non-essential cookies. You can withdraw consent at any time.
  • Legitimate interests, to respond to enquiries and to maintain the security of the site.
  • Legal obligation, where the law requires us to retain or disclose data.

Cookies and analytics

We use Google Analytics 4 to measure how the site performs. It tells us which pages people visit, how they arrive, and how long they stay. It sets cookies on your device to do this.

We ask for your consent before we set non-essential cookies. You can accept them, reject them, or change your choice at any time through our cookie settings. Essential cookies, which the site needs to function, do not require consent.

Google Analytics processes this data on our behalf. You can read how Google handles it in the Google Privacy Policy, and you can opt out using the Google Analytics Opt-out Browser Add-on.

Fonts and hosting

This site is built and hosted on Webflow, and uses Google Fonts to display type.

When a page loads, your browser may request fonts from Google. This can transmit your IP address to Google as part of serving the font. We use this only to display the site correctly, and we do not use it to identify you.

Webflow hosts the site and processes data on our behalf. This includes form submissions and standard server logs. Both providers act as our processors under contract.

Who we share your data with

We do not sell your data. We do not trade it. We do not share it for advertising.

We share data only with the service providers who help us run the site:

  • Webflow, for hosting and form handling
  • Google, for analytics and fonts

Each provider processes your data under our instructions and under data protection law.

International transfers

Some of our providers are based outside the UK and the European Economic Area, including in the United States. When we transfer your data abroad, we rely on safeguards approved under UK and EU law, such as Standard Contractual Clauses and the UK International Data Transfer Addendum.

How long we keep your data

We keep your data only as long as we need it.

  • We keep enquiry data for [RETENTION PERIOD, e.g. 24 months] after our last contact.
  • We keep newsletter data until you unsubscribe.
  • We keep analytics data for [RETENTION PERIOD, e.g. 14 months].

When we no longer need your data, we delete it or anonymise it.

Your rights

Under UK GDPR and EU GDPR, you have the right to:

  • Access the data we hold about you
  • Correct it if it is wrong
  • Delete it, where the law allows
  • Restrict or object to how we use it
  • Receive a copy in a portable format
  • Withdraw consent at any time

To exercise any of these rights, write to us at [PRIVACY CONTACT EMAIL]. We will respond within one month.

Complaints

If you believe we have mishandled your data, please contact us first so we can put it right.

You also have the right to complain to a supervisory authority. In the UK, this is the Information Commissioner's Office (ico.org.uk). In the EU, you can complain to the authority in your country of residence.

Changes to this policy

We may update this policy from time to time. When we do, we will change the date at the top of the page. Please check back to stay informed.
